If your company travels with us regularly, a business account saves everyone time. Instead of each person booking on their own card and claiming it back, your journeys are booked on the account and recorded against it.
Company travel has a way of becoming messy. One colleague books a taxi on the street, another uses an app, a third books a car on a personal card and forgets to claim it back for a month. Finance teams chase receipts, managers approve claims they cannot check, and nobody has a clear picture of what the company spends on getting around. A business account brings all of that into one place.
1. Arranged with a person
Accounts are set up by our team with you, not opened with a form. We agree how your people book and how you are billed. Every company travels differently, and the account is shaped around how yours works.
We start by asking how your company travels: airport runs, trips between offices, client visits, events or all of them. We ask who books, whether that is travellers themselves, personal assistants or an office manager. And we ask how you would like the costs recorded.
Once we understand that, we set the account up with you. Your bookers, your travellers and your cost centres are ready to use from the start. There is no long form to fill in and no guesswork.
If anything changes, such as a new team, a new office or a new booker, you tell us and we update the account. You talk to ZeroLanes about anything on the account, not a list of different taxi firms. It is one relationship, with one team.
2. Bookers and travellers
Your bookers choose the traveller and the cost centre, so an assistant can book for a director, and every journey is recorded against the right team. The person travelling and the person booking do not have to be the same. That is how most companies actually work.
An executive assistant can book a car to the airport for the chief executive, a car home for a visiting client and a car between offices for a colleague, all on the same account. Each journey carries the name of the traveller. Each one is recorded against the right cost centre.
Travellers get what they need for the journey, such as the time, the pickup point and the driver’s details. They do not need to worry about paying. The journey is on the account.
For finance teams, having each journey recorded against a cost centre makes it much easier to see where the money goes. Which team travels most, which routes are most common and how spending changes over the year all become clear. That helps with budgets and planning.
3. Nothing on a personal card
Journeys go on the account rather than on anyone’s own card, so there are no expense claims to chase. Nobody is out of pocket, and nobody has to remember to claim. It saves time for travellers and for finance teams alike.
Expense claims for travel are one of the most time-consuming parts of business admin. Receipts get lost, claims are filed late and every one has to be checked and approved. Taking travel off personal cards removes that work.
It is fairer on your people too. Junior staff, in particular, should not have to pay for company travel out of their own pockets and wait weeks to be paid back. With an account, they never have to.
Every journey is recorded, with the date, the route, the traveller and the price. You can see what was spent and on what. There are no surprises at the end of the month.
4. Our most established drivers
Business journeys go to drivers with the strongest records for turning up on time and taking the work they are offered. When a client is waiting or a flight will not wait, reliability matters more than anything. We give business work to the drivers who have shown they can be relied on.
Every driver who drives for ZeroLanes holds a private hire licence from a local licensing authority, and their documents are checked before they are offered work. Every car’s licence, MOT and insurance are checked too. Read what we check before anyone drives.
For business travel, we offer executive saloons for one or two people and people carriers for teams. A clean, comfortable car and a professional driver make the right impression on clients and guests. They also make the journey a good place to work.
Your travellers see the driver’s name and the car’s make, colour and registration on the journey page before pickup. They can follow the car once it sets off. There is no standing on the kerb wondering which car is theirs.
5. Fixed prices
Every journey is priced before it is booked, and the price does not move for traffic or a longer route. What your booker sees is what the company pays. That makes budgeting simple.
Business travel is often at the busiest times of day, in the morning and evening rush hours, when traffic is at its worst. With a meter, the cost of a journey can vary wildly from one day to the next. With a fixed price, it does not.
Fixed prices mean that nobody has to explain a large fare on an expense report. The price was agreed before the journey. It is the same price, whatever happens on the road.
Charges such as an airport’s parking or drop-off fee are included in the quoted price unless we tell you otherwise before you book. Waiting time beyond the free period is the kind of thing that can be charged in addition, and we tell you before we do. The details are in our terms.
What companies use it for
Airport runs are the most common use: early flights, late arrivals and visitors from abroad who need meeting. Client visits and roadshows, with a car by the hour between meetings, are another. So are trips between offices, journeys home after late nights and transport for events.
